Administrator – 6 Month Fixed Term Contract


Location: Heathrow

About the Role

We are seeking an experienced and highly organised Administrator to join our team on a 6-month fixed term contract based at Heathrow. This is a pivotal role within our operations, providing essential support across onboarding, compliance, and systems administration. You'll work in a fast-paced, regulated environment where attention to detail and the ability to manage multiple priorities are critical to success.

The successful candidate will be responsible for ensuring smooth onboarding processes for new starters, maintaining accurate records across our internal systems, and managing sensitive documentation in line with regulatory requirements. If you have a background in airport operations or experience with ID Gateway and airside pass applications, you'll be particularly well-suited to this position.

 

Key Responsibilities:

  • Coordinate the end-to-end onboarding process for new starters, including document collection, verification, and system updates
  • Maintain accurate data entry and records across multiple internal databases and platforms
  • Liaise effectively with internal departments and external stakeholders to ensure seamless workflow and communication
  • Prepare and submit airside ID pass applications via ID Gateway, ensuring all documentation meets required standards
  • Ensure full compliance with aviation security regulations and company policies throughout all administrative processes
  • Handle confidential and sensitive information with the highest level of discretion and professionalism
  • Provide general administrative support to the team as required, adapting to changing priorities

 

Skills & Experience:

  • Demonstrable administrative experience, ideally gained within a regulated, airport, or aviation environment
  • Exceptional attention to detail with strong organisational and time management skills
  • Excellent written and verbal communication skills, with the ability to engage professionally with stakeholders at all levels
  • Proficient in using a variety of systems, databases, and Microsoft Office applications
  • Experience with ID Gateway and processing airside ID pass applications is highly desirable
  • Proven ability to work independently, prioritise effectively, and meet deadlines in a demanding environment

 

Hours of Work: 37.5 hours per week – Monday to Friday
